With his own rooms, a kitchen brigade and a flexible team, Ruben organises parties, meetings and tailor-made catering, always with a personal touch. We spoke to Ruben about how he brings structure to his daily operations.

Hospitality as a foundation
Boldiek combines hospitality with flexibility. “We do a wide variety of things: parties, business events, on-site catering… That requires a lot of coordination and, above all, an overview,” says Ruben. With multiple spaces, a permanent team and external partners, there was a need for a system that brought everything together.
Faster gear changes
The switch to Catermonkey came from wanting to automate administrative tasks. “Before, we wasted a lot of time on quotes and schedules. Now, customers can submit their requests directly through our website, which makes everything way more efficient.”
Ruben notices the difference immediately. “We have all the information faster, quotes are ready sooner, and internally, the overview is better. The assignment overviews and staff lists are extremely useful for preparation.”
Less paper, more control
Whereas everything used to be done on paper, Boldiek now operates almost entirely digitally. “Deliveries, staff briefings, schedules, we arrange everything via Catermonkey. We hardly print anything anymore. Not only is it faster, it’s also more sustainable.”
Internal cooperation has also improved. “Everyone now knows where everything is. There are no more loose documents floating around. Everything is centralised.”
More requests, fewer errors
According to Ruben, visibility via the website has also given a boost. “Customers find their way to our application forms more quickly. So not only do we receive more applications, but they are also more complete. That saves a lot of back-and-forth emails.”
According to him, the time savings are considerable. “Quotations can be prepared more quickly, staff know where they stand sooner, and preparation takes less time.”
Ready for growth
As far as Ruben is concerned, a feature for social media marketing would be a nice addition. “But even now, it’s already paying off. We can plan ahead better, respond more quickly and work in a more customer-focused way.”
