More online requests and a better overview at event venue Boldiek

Boldiek is an event venue in the Achterhoek with its own halls, a kitchen brigade and a permanent team. Ruben runs parties, gatherings and off-site catering there. We spoke to him about how he plans it all.

Hospitality as the foundation

Boldiek combines hospitality with flexibility. “We do all sorts of things: parties, corporate events, catering on location... That takes a lot of coordination, and above all: overview,” says Ruben. With multiple rooms, a core team and outside partners, they needed a system that brings it all together.

Moving faster

The move to Catermonkey came from wanting to automate admin tasks. “Before, we lost a lot of time on quotes and scheduling. Now customers can submit their request directly through our website, which makes the whole thing a lot more efficient.”

Ruben notices the difference right away. “We have all the information faster, the quotes are ready sooner, and internally the overview is better too. The order overviews and staff lists are really handy for preparation.”

Less paper, more grip

Where everything used to run on paper, Boldiek now works almost entirely digitally. “Deliveries, staff briefings, scheduling: we handle all of that through Catermonkey now. We hardly print anything any more. That's not just faster, it's more sustainable too.”

Working together internally has improved too. “Everyone now knows where everything is. You don't have loose documents floating around any more. Everything's centralised.”

More requests, fewer mistakes

According to Ruben, visibility through the website has also given things a boost. “Customers find their way to our request forms faster. So we're not only getting more requests, they're also more complete. That saves a lot of back-and-forth email.”

The time saved is considerable, he says. “Making quotes is faster, the staff know where they stand sooner, and preparation takes less time.”

Ready to grow

As far as Ruben's concerned, a tool for social media marketing would be a nice addition. “But even now it already pays off a lot. We can plan further ahead, move faster and work more around the customer.”
